This Privacy Policy explains how Prep Pathway LLC (“we,” “us,” “our”) collects, uses, shares, and protects personal information when you visit www.prep-pathway.com (the “Site”), contact us, or use our services that support student-athletes and their families in finding and enrolling at U.S. boarding schools (the “Services”).

1) Who we are (Controller)

For most activities described in this policy, Prep Pathway LLC is the entity that determines how and why your personal information is processed (the “controller”).

2) Who this policy covers

  • Parents/guardians and student-athletes who inquire about or use our Services

  • Website visitors to www.prep-pathway.com

  • Partners we collaborate with (e.g., schools, coaches, testing or visa support providers)

Our Services are generally directed to parents/guardians of minors. We handle a student’s information only with the knowledge and consent of a parent or legal guardian.

3) Information we collect

Information you provide directly

  • Contact & identity data: name, email, phone, country/region, relationship to student

  • Student profile data: name, date of birth, grade level, academic records/transcripts, language proficiency, athletic history (sport, position, stats, video links), extracurriculars, references, preferences for schools/locations

  • Application data: documents needed for school applications and enrollment (recommendations, essays, forms)

  • Travel/visa support data (if requested): nationality, passport details, appointment confirmations, and other documents required by schools or authorities

  • Health/safety notes (optional, only if you choose to provide): e.g., allergies or injuries relevant to housing, sports participation, or travel logistics

  • Payment-related info: we may collect billing contact details and records of purchases; we do not store full credit card numbers (payments are processed by our payment processor)

Information collected automatically

  • Usage data: IP address, device/browser type, pages visited, time spent, referring pages/links

  • Cookies and similar technologies: used for site functionality, analytics, and (if enabled) advertising performance. See Cookies below.

4) Why we use your information (purposes & legal bases)

We process personal information for these purposes (with the corresponding legal bases under GDPR/UK GDPR for users in the EEA/UK):

  1. Provide and improve Services: evaluate academic/athletic fit, shortlist schools, coordinate applications, schedule calls, and deliver support (Legal bases: Contract, Legitimate interests)

  2. Communicate with you: respond to inquiries, send updates, service messages, scheduling (Legal bases: Contract, Legitimate interests)

  3. Share profiles with schools/coaches—at your request: present student-athlete profiles to potential schools/coaches (Legal bases: Consent, Contract)

  4. Arrange optional services: testing coordination, visa guidance, or housing/travel assistance you ask us to facilitate (Legal bases: Consent, Contract)

  5. Operate our website & measure performance: security, debugging, analytics, ad performance (Legal bases: Legitimate interests; Consent where required for cookies/ads)

  6. Marketing: send newsletters or updates you opt into; you can unsubscribe anytime (Legal bases: Consent, Legitimate interests)

  7. Legal, compliance, and protection: comply with law, enforce agreements, prevent fraud or misuse (Legal bases: Legal obligation, Legitimate interests)

Where we rely on consent, you may withdraw it at any time (this will not affect processing already done).

5) How we share information

We share personal information only as needed and with safeguards:

  • Schools and coaches (with your direction/consent): to evaluate the student for admission and team fit

  • Service providers (“processors”): hosting, email, video conferencing, CRM, forms, analytics, payment processing, document collection, and similar tools bound by confidentiality and data-processing terms

  • Testing & visa support (if requested): standardized test prep providers, test registration services, or visa support resources, to the extent necessary

  • Legal & safety: when required by law, regulation, or to protect rights, safety, or integrity of our Services

  • Business transfers: if we undergo a merger, acquisition, or asset sale, data may transfer under this policy’s protections

We do not sell personal information. If we “share” personal information for cross-context behavioral advertising under applicable U.S. state privacy laws, we will honor applicable opt-out rights (see Your rights and Cookies).

6) International data transfers

We operate in and use service providers located in the United States and other countries. If you are in the EEA/UK/Switzerland, we protect cross-border transfers using appropriate safeguards, such as the EU Standard Contractual Clauses and the UK International Data Transfer Addendum (or other mechanisms permitted by law). Copies or a description of the relevant safeguards can be requested at privacy@prep-pathway.com.

7) How long we keep information (retention)

We keep personal information only as long as necessary for the purposes described above, including to meet legal, accounting, or reporting requirements. Typical retention:

  • Prospective families: up to 3 years after last interaction

  • Active/placed students: for the enrollment period plus up to 6 years to address post-placement needs and legal obligations
    We may keep data longer if required by law or to establish/defend legal claims.

8) Children’s privacy

We work primarily with parents/guardians. We do not knowingly collect personal information directly from children under 13 (U.S.) or under the age of digital consent in the EEA/UK without verifiable parental consent. If you believe a child provided us data without consent, contact britta@prep-pathway.com and we will take appropriate steps.

9) Your privacy choices & rights

Email & marketing

  • You can unsubscribe from marketing emails at any time via the link in the message or by contacting us.

  • We’ll continue sending service/transactional messages related to your ongoing requests or contracts.

Cookies & analytics/ads

  • You can manage non-essential cookies via our cookie banner and your browser settings.

  • Some jurisdictions (e.g., California) provide a right to opt out of “sharing” for cross-context behavioral advertising; use the cookie banner or send a request to privacy@prep-pathway.com. We also honor Global Privacy Control (GPC) signals where legally required.

Rights for EEA/UK/Swiss residents

Subject to legal limits, you may have the right to access, rectify, erase, restrict, port, or object to processing of your personal data, and to withdraw consent at any time. You also have the right to lodge a complaint with your local supervisory authority.

U.S. state privacy rights

Depending on your state, you may have rights to access, delete, correct, opt out of targeted advertising, or appeal a decision. Submit requests as described below.

10) How to make a request

To exercise your rights or ask questions, email britta@prep-pathway.com with:

  • Your name, contact details, what you’re requesting, and whether you are a parent/guardian acting for a student.
    We may verify your identity (and authority, if you’re acting for someone else) before fulfilling requests.

Authorized agents (where allowed by law) should provide proof of authorization.

11) Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and least-privilege practices. No system is 100% secure; if we discover a breach affecting your data, we will notify you and/or regulators as required by law.

12) Third-party links and services

Our Site may link to third-party websites or services (e.g., video platforms, file uploads, scheduling tools). Their privacy practices are governed by their own policies; we encourage you to review them.

13) Changes to this policy

We may update this Policy from time to time. When we do, we will change the “Last updated” date above and, if required by law, provide additional notice.
